Our client in New York, NY is seeking a Part-Time Private School Administrative Assistant. The Middle School Administrative Assistant provides administrative support to the Head of Middle School, Middle School leadership team, faculty, students, and parents. This position provides some executive support to the Head of Middle School as well as the entire division and must be highly efficient and organized with meticulous attention to detail and able to handle confidential information and material with the utmost discretion, be flexible and contribute to a joyful atmosphere.
Must be vaccinated and boosted
Hours: 10:00 A.M. ??? 2:00 P.M.
Days: Mon-Friday, Follow school holiday schedule
Temp role from August through June 2023; possibility of becoming permanent
Pay: $30 per hour (flexibility for more based upon experience)
Ideally begin Aug 8th or latest 15th
2 interviews- 1 with head of HR, another with head of middle school who supprting (she is easygoing and self-sufficient)
Maintain efficient systems and processes in multiple areas in support of the Middle School.
Maintain the Head of Middle School???s schedule.
Scheduling meetings between HOMS and parents and teachers.
Maintainthe MS Google calendar.
Assist with the planning and logistics of MS events.
Attend building logistics meetings.
Plann conference, travel, and accommodation arrangements as needed.
Manage Middle School office phone calls and email correspondence. Elevating situations to the Head of Middle School when necessary.
Organize and provide logistical support for faculty candidate visits, interviews, etc.
Assist students as needs arise.
Manage the First Aid Station and lost and found system for the Middle School.
Facilitate early dismissals and arrivals: students arriving late or leaving early.
Organize and keep track of: Faculty schedules and duty assignments, Student schedules and master schedule, Locker combinations and locker maintenance
Schedule conference days for Class V parents.
Coordinate parent teacher conferences.
Assist Middle School Head in preparing for grade meetings and parent coffees (i.e. coordinating tech needs)
Copy materials for the Middle School Head and Middle faculty.
Cover an occasional study or fill-in for Middle school faculty or administration.
Maintain a collection of supplies for the faculty workroom and classrooms as requested.
See that the Middle School office bulletin boards are up to date and attractively maintained.
Keep the hallways and classrooms orderly.
Coordinate transcript needs as they arise in coordination with the Registrar.
Facilitate the exmissions process in coordination with the Head of Middle School.
All other administrative duties, as assigned by the Head of Middle School.
Bachelor’s degree required.
3-5 years of experience in an administrative support role.
Excellent attention to detail, professional attitude, good judgment, a high level of integrity and a strong work ethic.

Must have superior technical skills and be proficient in GSuite products including Gmail, Google Drive, Google Docs, Google Sheets, MS Word, MS Excel and must be proficient in learning new applications and software.
