Under the leadership of the Executive Dean of the College of Business and Technology, the Administrative Assistant is responsible for various projects, initiatives, and requirements to ensure the success of the College of Business and Technology at Sullivan University.Responsibilities of the position include:Provides analytical and administrative support to the Executive Dean on a variety of campus wide or multi-campus issues, projects, and programs by compiling data, soliciting and researching information from a variety of sources both on and off campus, and preparing reports as requested. Such projects may include, but are not limited to:Coordinates catalog updates for the College of Business and TechnologyMonitors and contributes to SU s IR Site (i.e. grade books, syllabi, outcomes assessments, blog updates, Curriculum Meeting Minutes, and SACS/COC and PECC materials as well as assisting faculty members contributions),Monitoring and ensuring consistency of policies within the College of Business and Technology.Manages the daily functions and staff of the College of Business and Technology by overseeing and directing workflow, independently responding to inquiries, complaints, and concerns from callers and visitors on behalf of the Executive Dean, and researching and resolving problems as they arise.Assists in admissions functions for the College of Business and Technology students through projects not limited to:Assisting in committee recommendations for College of Business and Technology studentsProcessing new admission students through channeling approval from the Executive Dean.Auditing student files for admissions requirements, i.e. letters of recommendations, transcripts, and essays in order to comply with policies set forth by the university and SACS.Assists the College of Business and Technology with the annual PECC presentation.Ensures communication and coordination of courses scheduled at all SU campuses and divisions.Arranges to have books/materials sent to all College of Business and Technology faculty as needed.Assists Deans with program updates and course development/redesign schedule and facilitates ongoing course development/redesign through collaboration with Sullivan Online.Assists in the review of all resumes for TA positions and assigning TAs to classes based on educational background and current PhD status, in conjunction with Executive Dean of the College of Business and Technology.Coordinates delivery of all updated faculty CVs to appropriate person. CVs/Resumes of faculty are collected on a yearly basis. Also, gathers copies of certificates for any certification verifications relevant to faculty employment and completes document showing classes faculty are qualified to teach and relevant coursework.Coordinates updates to the College of Business and Technology Faculty website as needed based on faculty changes.Assists in the facilitation and planning of PhD Residency and mini-retreat each year, including securing sites, food and outing, securing logistical set-up for Residency presentations and faculty accommodations, arranging meals, entertainment and outing, conveying information to faculty and students, preparing materials for presentations, and monitoring all aspects throughout Residency to ensure success.Ensure all College of Business and Technology information given out is up-to-date based on programs and facilitates delivery of new program material to Admissions staff for all campuses.Facilitates Administration of MBA-Accounting students and Coordinates activities with Becker.Serves as administrative support for the Institutional Review Board (IRB).Attends Graduate School Open Houses as necessary.Attends and assists with Graduate School Orientation each quarter.Assists graduate faculty with administrative tasks as needed.Performs other duties as assigned.Serves on various committees representing College of Business and Technology (as assigned by the Executive Dean of the College of Business and Technology).Requirements of the position include:Associate degree in related field required.Three years of related work experience.An equivalent combination of education and work experience may be considered.Excellent writing and oral communication skills.Knowledge of program offerings and accreditation requirements.Ability to coordinate multiple deadlines simultaneously and efficiently while meeting required deadlines.Ability to work collaboratively with others.Ability to function efficiently in a stressful work environment.Ability to maintain a flexible work schedule, including evenings, weekends.Must possess excellent customer service, communication, organizational and interpersonal skills.Must be able to sit and/or stand for extended periods of time.Must be able to hear and speak well enough to communicate with students, faculty, and staff face to face and via the telephone.This job description lists the major responsibilities of the job title listed.
